Run your dog school without Excel

Excel, paper cards and messages are enough to begin with. With every additional group, it turns into office work. Here you can see where the time goes – and work out with your own numbers whether software pays off.

  • Calculator with transparent assumptions
  • Import existing customers via CSV
  • Remaining credit moves into the credit account

Where the time goes

  • Lists that are never up to date

Participant lists, paper cards and balances are spread across different files or on paper. Who still has sessions left? Every time, it means searching.

  • Arrangements by message

Registration, cancellation, moving up from the waiting list – every change is a message you have to answer and enter somewhere.

  • Billing after the fact

Sessions are only billed after the training, and payments have to be chased. Outstanding amounts are often only noticed weeks later.

Is it worth it for you?

Enter your own numbers. The result is a range, because nobody knows in advance exactly how much time will be saved.

How it's calculated – these are assumptions, not measurements:

Time: office work × 52 weeks × 25–50%, because self-booking, automatic billing and reminders replace some of the back-and-forth. Some always remains.

Defaults: revenue × 12 × your share × 50–90%, because courses are paid in advance with credit.

Not included: getting started in the first few weeks and fees for online payments.

Switching in four steps

  1. Import your customer list

Download the CSV template, fill it from Excel, upload it. Dogs, levels and remaining credit come along too.

  2. Create courses and appointments

Create recurring groups once, set places and waiting list.

  3. Send invitations

Once everything is in place, your customers get access to the app with your logo – all at once, at a time of your choosing.

  4. Phase out in parallel

You only need the old list for looking things up. New bookings and top-ups go through PfotenCard.

Frequently asked questions

When does software pay off instead of Excel for a dog school?
Usually when registrations, arranging appointments and billing take several hours a week, or sessions regularly go unpaid. The calculator on this page shows a range for your own numbers – with transparent assumptions.
Can I import my customer list from Excel?
Yes. PfotenCard imports customers and dogs using a CSV template, including level and existing credit. You send the invitations all at once when you're ready.
What happens to my customers' remaining credit?
You carry over outstanding balances as starting credit. From then on, customers book and pay via their credit account; billing after the appointment takes one click or – depending on the plan – happens automatically.
Do I have to give up WhatsApp?
No. Many schools keep using WhatsApp for personal contact. But registrations, cancellations and waiting lists run through the app – which removes most of the back-and-forth.
